The Legal & Documentation Officer is responsible for preparing, reviewing, verifying, and managing all legal documents and agreements related to real estate transactions. The role ensures that all property documentation complies with applicable laws and company policies while coordinating with clients, legal advisors, banks, government authorities, and internal teams to facilitate smooth property transactions.
Key Responsibilities
Agreement & Contract Management
Draft, review, and execute property-related agreements, including:
Agreement to Sell
Sale Deed
Lease/Rent Agreements
Leave & License Agreements
Builder-Buyer Agreements
Memorandum of Understanding (MoU)
Vendor Agreements
Brokerage Agreements
Power of Attorney (PoA)
Ensure all contracts are legally compliant and protect the company's interests.
Coordinate execution, stamping, notarization, and registration of documents.
Documentation & Verification
Verify ownership documents and title records.
Scrutinize property documents for completeness and authenticity.
Conduct due diligence on properties before transactions.
Maintain updated records of legal documents in both physical and digital formats.
Ensure proper document control and retrieval.
Compliance & Regulatory
Ensure compliance with:
RERA regulations
Stamp Duty and Registration laws
Local municipal regulations
Land revenue laws
Company policies
Coordinate with advocates, registration offices, and government departments.
Track legal and regulatory changes affecting real estate transactions.
Transaction Coordination
Liaise with sales, finance, CRM, and project teams for documentation requirements.
Coordinate with clients for execution of agreements and collection of required documents.
Support registration of sale deeds and other legal documents.
Coordinate with banks for loan-related documentation.
Legal Support
Assist external legal counsel in litigation and dispute matters.
Respond to legal notices under the guidance of senior management.
Maintain records of pending legal cases and notices.
Prepare legal reports and documentation summaries.
Record Management
Maintain a secure repository of agreements and legal documents.
Ensure confidentiality of sensitive legal information.
Monitor expiry and renewal dates of leases, licenses, and contracts.
Required Qualifications
Bachelor's Degree in Law (LLB) preferred.
Alternatively, Graduate with specialization or experience in legal documentation.
Certification in Property Law or Contract Management is an added advantage.
Experience
2–6 years of experience in legal documentation or contract management within a real estate company, developer, brokerage, or legal firm.
